Xero backup

Every Xero organisation, backed up into storage you own.

Xero keeps the books, but it offers no backup of its own and no way to see them as they were last month. Caryvane copies each organisation out every night, keeps every version of every record, and lets you open the books as they stood on any date.

It runs from the same console as the rest of your backups. There is nothing to install at the customer: connect the organisation at Xero, choose where the copy goes, and the first backup starts. An MSP sees every customer's organisations in one place.

What is captured

Everything Xero lets a backup app read, for each organisation you connect.

  • Sales invoices, bills, credit notes, quotes, purchase orders and repeating invoices
  • Payments, overpayments, prepayments and batch payments
  • Bank transactions, transfers and manual journals
  • Contacts, the chart of accounts, items, tax rates, tracking categories, budgets and organisation settings
  • The attachments on all of those, and the Xero Files library
  • Payroll (UK), fixed assets and projects, where the organisation uses them
  • Xero's own trial balance, every day

The books as at any date

Every change is kept as a new version; a later backup never overwrites an earlier one. Pick a date and every list, status and total shows the organisation as it stood at the end of that day.

  • Browse and search every record type, as at any date
  • Each record's full history, newest first
  • Records deleted or voided in Xero are still there, marked as gone
  • Year ends and VAT quarters for the accountant, an audit or an HMRC enquiry
  • History kept for seven years unless you choose otherwise

Getting data back

Xero lets no app write back its journal or general ledger, so no backup product can roll an organisation back to an earlier date. What you can do is this:

  • Export as CSV in Xero's own import format: contacts, accounts, invoices, bills and credit notes go back in through Xero's import screens
  • Export everything as JSON, attachments included, as the complete record
  • Download a single attachment or Xero Files document and attach it again
  • Rebuild an organisation from a chosen cut-off, with your accountant, using the documented steps

What Xero gives us

Every Xero backup, ours included, works through the API that Xero offers to apps, and can only capture what that API hands over. Two things follow from that.

  • Xero keeps some things back from every app. The general ledger itself is one: it is not available to backup apps on Xero's standard plans, which is why the daily trial balance and every source transaction are captured instead
  • Xero limits how many requests an app may make each day for each organisation. A busy organisation's first backup takes several days. The records come first and the attachments after, so the books are complete before the receipts
  • After the first backup, each night fetches only what changed

How it is charged

Xero charges apps for the data they download from it. Our charge follows Xero's, so it is in two parts, on its own invoice line and never from cloud credits.

  • A monthly fee for each organisation, from the day its backup starts, pro-rata for part months
  • The first backup: 5 GB of data transfer free for each organisation
  • Every month, 1 GB of data transfer for each organisation, pooled across every organisation you have; only the total above it is charged, per GB
  • Data is measured by calendar month, the way Xero measures it
  • Storage is yours: the backup sits in storage you already hold, so it is not on our invoice

Where the copy lives

In the customer's own cloud storage, not ours. Caryvane holds no copy.

  • Amazon S3, Wasabi, Azure Blob and the other cloud storage we support
  • Each organisation in its own folder, named after it
  • Disconnect an organisation and what was backed up stays in that storage
